Position Summary
The Office Assistant plays a vital role in supporting the operations, communications, and events of the Laurier Hub for Community Solutions. Reporting to the Director, this position provides administrative, communication, and creative support to ensure the smooth delivery of events and initiatives. The Office Assistant serves as a key point of contact for inquiries, contributes to effective internal and external communication, and helps bring The Hub’s initiatives to life through collaboration, organization, and design.
Accountabilities
Administrative Support:
- Provides support to the Director in the execution of projects, initiatives, and day-to-day operations
- Serves as Secretary for committee meetings, including scheduling, preparing agendas, and recording/distributing minutes as required
- Oversees and maintains electronic and physical file archives in an organized and accessible manner.
Orders office supplies and materials for The Hub and its initiatives or events
Communications & Content Management:
- Monitors and manages The Hub’s general email inbox, triaging and responding to inquiries in a timely and professional manner
- Prepares and distributes broad communications, including emails and announcements, to internal and external audiences
- Maintains and updates content on The Hub's website, ensuring accuracy, consistency, and alignment with brand standards
Graphic Design & Promotional Materials:
- Designs and produces visually compelling digital and print materials (e.g., flyers, posters, web and social media graphics) to promote events, initiatives, and activities
Event Support:
- Assists in planning, coordinating, and executing events hosted by The Hub, including logistics, communications, and on-site support
- Supports post-event follow-up activities such as surveys, reporting, and archiving materials
Team & Financial Operations:
- Helps direct the work of student staff or temporary hires
- Processes financial transactions such as honoraria, payroll submissions, P-card reconciliations, and expense claims in accordance with institutional policies
Qualifications
- High School Diploma plus one year post secondary and up to two (2) years related experience, preferably providing support in a university environment
- Strong service orientation and well-developed public relations skills
- Excellent written and verbal communication skills
- Strong organizational and multitasking skills with attention to detail
- Demonstrated ability to work independently, set priorities, and problem-solve
- Proficiency with graphic design tools (e.g., Canva, Adobe Suite) and website content management
- Experience with event planning or coordination
- Ability to manage confidential information with discretion
- Familiarity with office administration, financial processes, and records management
This position is eligible for Educational Equivalencies.
Hours of Work
This is a Part-time, Limited-term opportunity with an anticipated end date of May 31 2026.
The normal hours of work total 5 hours per Monday to Friday work week. Flexibility in hours may be required, including evening and/or weekend work due to periods of high volume. When possible, the manager will adjust hours to ensure no more than 175 hours are worked in the 8-month appontment period.
Compensation
- Level: B
- Rate of Pay: $31.48 - $33.28 per hour with an annual step progression on anniversary date up to $35.98 per hour. Considerations for new hire step placements include, qualifications and length/depth of required experience, relevant market rates for similar jobs, internal equity, and estimated learning curve in starting the job.”
