Position Summary

The Communications and Administrative Coordinator will play a pivotal role in promoting and advancing the visibility of the Faculty through strategic communication, digital marketing, and social media engagement. The coordinator will work closely with faculty, staff, and students to create and execute innovative communication campaigns, maintain and grow social media presence, and support the development of marketing materials that reflect the Faculty’s mission, values, and academic offerings.

The Communications and Administrative Coordinator plays a key role in supporting the day-to-day operations and administration of professional development courses, workshops, and training initiatives for educators and adult learners. This position involves coordinating program logistics, assisting with marketing and recruitment efforts, maintaining participant records, and providing excellent customer service to participants. The Communications and Administrative Coordinator will also work closely with faculty members, external partners, and stakeholders to ensure smooth program delivery and enhance the overall effectiveness of the continuing education offerings.

 

Accountabilities

Communication:

Website and Social Media:

  • Lead the development of marketing and communication strategies for Laurier's Faculty of Education to boost brand identity, reputation, and visibility among key stakeholders.
  • Act as the Faculty’s website liaison for all program matters related to the internal/external websites.
  • Ensure that all internal/external communications are AODA compliant and act as the Faculty expert in AODA template design and development.
  • Maintain and enhance the Faculty of Education's media-rich websites (students.wlu.ca, wlu.ca/education).
  • Coordinate content in the Faculty of Education program websites and implement changes that improve the content quality, accessibility and navigation.
  • Ensure accuracy and consistency across the Faculty’s websites
  • Operationalize edits provided by Program Chairs, Associate Deans, and Dean.
  • Research and develop education-related website content and stories.
  • Maintain the Faculty of Education's digital events calendar.
  • Coordinate social media strategy for the Faculty of Education to drive engagement.
  • Regularly post dynamic content on social media platforms showcasing education programs.
  • Respond to all social media inquiries, in collaboration with relevant faculty and staff.
  • Participate in Laurier's Social Media Administrators Group Training, adhering to brand standards.

Print & Digital Marketing:

  • Assist with marketing initiatives to boost Laurier's Faculty of Education enrolment and profile.
  • Contribute to the production of Faculty of Education promotional materials.
  • Facilitate opportunities for news stories and campus updates.
  • Design visual content for marketing in alignment with Laurier's brand standards.
  • Develop and update visual elements for promotional materials and stock photography.
  • Assist with designing Faculty of Education promotional swag items.
  • Maintain archives of print and digital communications.
  • Provide input and support for enhancing the Faculty of Education brand and other marketing initiatives.
  • Create digital advertising for events to be displayed on screens throughout the Faculty of Education and the University.
  • Collaborate with External Relations on printed materials.

Program Support:

Additional Qualifications Program

  • Maintain database, course files, track application forms, keep accurate tally of registration numbers
  • Confirm student’s eligibility, payment information and verify credentials
  • Reserve classrooms and off campus facilities for courses
  • Create signage with class locations/changes
  • Create parking maps and passes for participants as required
  • Liaise with instructors, maintain employment files, prepare contracts
  • Connect instructor with My Learning Space training
  • Develop, verify, update and circulate class lists for each session
  • Arrange for submission of final grades, provide instructor with course evaluations
  • Update AQ application form as required
  • Inform participants of course status, schedules, parking options, room locations
  • Create Statement of Results, Official Transcripts and Tuition Receipts
  • Process Transcripts Request forms, process fee and distribute as requested by former participants
  • Develop course flyers, update website with course offerings, registration forms
  • Inform previous AQ students, area school boards, B.Ed. students, Associate teachers and PDS Principals of upcoming course offerings
  • Monitor the Accreditation Information Management System (AIMS) and Monitor the Faculty Plus system on monthly basis
  • Review the Additional Qualification reporting schedule to confirm course coding used for recommendation to OCT
  • Assist with AQ course development, formatting and submission as required by OCT
  • Prepare participant spreadsheet for submission to OCT for posting on teachers’ Certificate of Qualification in adherence to OCT guidelines

Certificate Programs

  • Review modules for yearly course offerings and liaise with Destiny One team
  • Create marketing content and disseminate to internal and external stakeholders
  • Liaise with instructors, maintain employment files, prepare contracts
  • Maintain data base of participants, monitor progression through modules, enter grades
  • Prepare completion certificates for participants

Outreach/Project Management

  • Assist with specialized Faculty of Education projects e.g., new initiatives, researching/background on program development)
  • Assist with event planning and implementation
  • Assist with Advancement Committee initiatives
  • Assist with potential camps and summer programming such as SHAD Canada

 

Qualifications

  • Minimum two-year post-secondary diploma; plus 2 years experience working with website and program management
  • Demonstrated experience with Microsoft Office Suite of products including Word, Excel, and PowerPoint
  • Understanding of creating accessible (AODA compliant) documents
  • Experience with website creation and maintenance
  • Experience with social media platforms such as Instagram, LinkedIn
  • Excellent written and oral communication skills; able to create effective marketing tools
  • Experience working independently with minimal supervision and the ability to both self-start and be self-motivated
  • Experience working within a team and the ability to build strong relationships with colleagues and partners both internal and external to the Faculty of Education
  • Excellent organizational skills to manage workload and deadlines
  • Experience working under pressure towards tight timelines where priorities and tasks may regularly change
  • Demonstrated initiative, resourcefulness, tact and discretion
  • Proven ability to complete tasks accurately with strong attention to detail and ability to proofread are essential
  • Ability to handle sensitive information and ensure confidentiality
  • Knowledge of K-12 and post-secondary education sector is an asset
  • Knowledge of the Ontario College of Teachers is an asset

 

This position has been deemed eligible for Educational Equivalencies.

 

Hours of workThis is a limited part-time position with an expected end date of June 22, 2026. The normal hours of work are Tuesday to Thursday, 8:30am to 4:30pm.

 

As Per Article 12.7.6 of the collective agreement, prior approval of a member’s manager is required to return to their previous position upon the completion of a Limited-Term Position.

 

This position is eligible for a flexible work arrangement, as per Policy 8.14 (Flexible Work Policy). All arrangement must be approved by the direct manager. In-person attendance for events, as required to meet operational needs, is expected. On occasion, this schedule may need to be adjusted to meet operational requirements.

 

Compensation

Level: D

Rate of Pay: $37.22 - $39.35 per hour with an annual step progression on anniversary date to $42.54  per hour.

Considerations for new hire step placements include, qualifications and length/depth of required experience, relevant market rates for similar jobs, internal equity, and estimated learning curve in starting the job.
