Position Summary

The Faculty Relations Office, within Human Resources is a service function for faculty, staff supporting the academic areas, Deans, and WLUFA. Reporting to the Associate Director, Faculty Relations, the incumbent performs a variety of duties, including labour relations and administrative support, in which accuracy is key, for collection, coordinating and maintaining consistency and integrity of University faculty data and generating complex reports in compliance with the Full-time Faculty Collective Agreement and the Contract Teaching Faculty Collective Agreement. The incumbent works with confidential information, exercises independence of judgement, acts as a resource to the university community, and must be able to work effectively in an environment with frequent interruptions. The Faculty Relations Coordinator will recommend efficiencies in processes for the collection and maintenance of CTF and FT faculty data and compliance reports and will share responsibilities with Faculty Relations colleagues under both the FT and CTF collective agreements to ensure an even workflow. 

 

This position has a university-wide mandate and is based at the Waterloo Campus. The incumbent provides faculty relations supports to all campuses, requiring regular interpersonal interactions and collaboration with departments at the Waterloo Campus, the Brantford Campus, locations in Kitchener and Milton, and external partners. Special attention is given to ensure equitable service delivery across all locations.

Accountabilities 

Collective Agreement Interpretation

  • Point of contact on interpretation of articles under the FT Collective Agreement, such as those regarding leaves (sabbatical, pregnancy/parental) retirement provisions, course releases, overload exemptions, and merit processes. Contacts would include faculty, Deans, department administrative assistants, and Sr. Administrative Officers, and Administrative Managers.
  • Point of contact on interpretation of articles under the Contract Teaching Faculty Collective Agreement relating to course postings, preparation of letters of appointment, seniority points and seniority status. Contacts would include faculty, Deans, department administrative assistants, and Sr. Administrative Offices and Administrative Managers

Reporting and Data Management

  • Assist with the preparation of compliance reports under the Full-time Faculty and Contract Teaching Faculty (CTF) Collective Agreement filed on behalf of the University to the Faculty Association (WLUFA)
  • Collects, coordinates and maintains accurate and current data on full-time faculty and CTF used in planning, budgeting and by the University negotiating team in collective bargaining
  • Generate reports, including salary and appointment data, and post to a shared drive for the Dean and SAO use.
  • Generate reports from Banner, as requested, by the Office of Research Services, Faculty of Graduate and Postdoctoral Studies, and Sr. Administration.

Labour Relations

  • Implementation, interpretation and administration of academic collective agreements.
  • Data collection and reporting in support of bargaining preparations
  • Assists with research on other university collective agreements in preparation for negotiations

Administration

  • Responsible, for updating and indexing of full-time faculty and Librarian Official Files, in electronic format, which involves preparation, updating, security and access, exercises judgment to apply and interpret policies and procedures relating to content of Official Files
  • Maintains sabbatical credit data in Banner for individual faculty Member’s use in consideration for applying for sabbatical; performs the required annual manual entry of credits; upon request, advises Chairs and Deans if applicant is eligible and prepares sabbatical approval letters for Vice-President Academic & Provost signature
  • Prepares termination acknowledgment letters (retirement, PIRO, resignation) for Vice-President Academic & Provost signature
  • Provides the Associate Director Faculty Relations with administrative support in ongoing administration of WLUFA collective agreements
  • Maintains the Faculty Relations web site
  • Responsible for processing the marking/grading allowance in compliance with the CTF Collective Agreement.
  • Responsible for processing the applications for the CTF Professional Development Fund in compliance with the CTF Collective Agreement. Duties include maintaining an accurate accounting of the applications received, approved, and the fund balance.
  • Responsible for implementing and updating the Seniority List on shared Drive and secured website; prepares and administers seniority reports for all part-time instructors each term

Appointment Processing

  • Responsible for providing information and guidance to academic units and monitoring and ensuring consistency and coordination of processes relating to full-time faculty Letters of Appointments, including the preparation of appointment letters.
  • Responsible for providing information and guidance to academic units and monitoring and ensuring consistency and coordination of processes relating to CTF Letters of Appointments and FT Overload contracts. This includes providing training preparing contracts using LORIS, as requested
  • Responsible for review of full-time faculty overload contracts and checking faculty eligibility for overload teaching, and following up with the Dean’s Office.
  • Prepares Full-time faculty Offer of Appointments and reappointment of full-time faculty to Candidacy appointment and verification to payroll
  • Supports Department Appointment Promotion/Senate Promotion Appointment Tenure committees by preparing confidential official files for review;
  • Receives and processes Postdoctoral Fellow appointment requests, including checking completeness of the appointment form, and preparing the appointment letter for the AVP and Dean Faculty of Graduate and Postdoctoral Studies signature.
  • Works with the Sr. Administrative Officer, Faculty of Graduate and Postdoctoral Studies, to track CTF posting exempt positions.
  • Enter full-time faculty for onboarding in the Applicant Tracking System

Process Improvement

  • Makes recommendations for approved efficiencies in processes for the collection and maintenance of the CTF and FT faculty data and compliance reports in the FT and CTF collective agreements.

Qualifications

  • University degree in business administration or a related field, or an equivalent combination of education and experience
  • Minimum of five year’s work experience including administration, reporting, and customer service (University environment preferred)
  • Demonstrated work experience in faculty administration, human resources or a related field including collective agreement interpretation and administration
  • Experience working with collective agreements, preferably both WLUFA Full-time and CTF
  • Proven ability to provide sound advice and guidance on collective agreement matters
  • Demonstrated high level of customer service and professionalism
  • Excellent administrative and organizational skills, including accuracy and attention to detail
  • Proven ability to work independently in organizing and prioritizing
  • Strong written and verbal communication skills
  • Demonstrated analytical ability with decision-making skills
  • Diplomacy, discretion, tact, ability to interact with a wide range of University and external personnel
  • Skills and experience in managing web pages, and in preparing and posting materials to the web.

Hours of Work: This is a full-time, limited term position with an anticipated end date of April 30, 2026. The normal hours of work are 8:30 am to 4:30 pm, Monday to Friday. Flexibility may be required due to periods of high volume. When possible, the manager will adjust hours so that no more than 35 hours are worked in a week. This position is eligible for a flexible work arrangement, as per Policy 8.14 (Flexible Work Policy). All arrangements must be approved by the direct manager. In-person attendance for events, as required to meet operational needs, is expected. On occasion, this schedule may need to be adjusted to meet operational requirements.

Compensation

Level: EX-F

Rate of Pay: $67,899 - $84, 874 annually

Broad salary ranges include a hiring range ($67,899 - $76,387 of range midpoint), a target range ($76,388- $93,361 of range midpoint), and a premium range ($93,361 - $101,849 of range midpoint).

When new employees are hired the appropriate base salary is determined using these sub-ranges as a guide while adhering to rules on hiring as defined in our compensation policy. Considerations for new hire salaries include, qualifications and length/depth of required experience, relevant market rates for similar jobs, internal equity, and estimated learning curve in starting the job.
