Reporting to the Manager of Canadian Student Recruitment, Recruitment & Admissions, the Recruitment Coordinator works as a member of the Recruitment & Admissions (R&A) team to ensure the enrolment management goals of the university at large are met. This team member will execute and implement strategic plans to advance the position of Wilfrid Laurier University nationally and internationally as a destination for high calibre students.
The Recruitment Coordinator will coordinate and execute a balanced mix of in person, out-bound and virtual recruitment events and relationship building opportunities. The incumbent will have an extensive understanding of institutional knowledge in order to effectively engage with audiences of varying sizes and formats. The ideal candidate will be experienced in the management of inquiries from prospective students, parents, and educators, have excellent communications skills inclusive of writing, presenting, and coaching and will be able to work independently with little or no supervision for extended periods.
This position requires flexible hours including evenings, weekends, and overnight stays. This position has a university-wide mandate and is based at the Waterloo Campus, but will travel regularly to Brantford and Milton as well. The incumbent provides subject matter expertise to all campuses, requiring regular interpersonal interactions and collaboration with internal and external partners. Special attention is given to ensure equitable service delivery across all locations.
Accountabilities
Planning and Analysis
- Participate in annual recruitment training gathering extensive knowledge of the university, public speaking and presentation practice and general knowledge of admission requirements and procedures
- Using available data and research, make recommendations on recruitment and conversion activities including outbound travel, campus events, and virtual engagements
- Support in the coordination of bookings and logistics for outbound student recruitment engagements including in-person travel and virtual sessions
- Submits data retrieved from interactions with students into the CRM and utilizes contacts to stay connected to prospects and applicants, and when appropriate submits expense reports and receipts
- Stay apprised of digital recruitment opportunities that Laurier could leverage to create awareness to prospective students (ie. virtual/digital events, external blogs and podcasts)
- Extensive data mining of CRM data and usage to recommend and implement continued improvements to the practice of student recruitment
- Provide feedback, content, communication support, ideas and recommendations for improving the Laurier brand, recruitment communication and marketing collateral, events and general recruitment initiatives
Implementation of Recruitment/Conversion Activities
- Travel independently or in groups, speaking to prospective students, families, guidance counsellors, school administrators in both formal and conversational settings
- Participate in all campus events such as Open Houses, Outreach school visits, the Ontario Universities’ Fair, virtual fairs and presentations and other fairs/events
- Guide, advise and respond to all prospective students, guidance counsellors, and other partners from prospect stage to offer confirmation
- Coordinate and support recruitment and conversion events from on campus, off campus and virtual
- Responsible for communicating key points and addressing each students interests through each presentation and interaction to ensure you are supporting them in making informed decisions
- Support project based initiatives related to student recruitment
- Participate in all recruitment events as decided upon by the Ontario university collective
- Focus on relationship building by creating opportunities to engage with inducing, but not limited to, the campus ambassadors, alumni, and current student leaders our recruitment and conversion activities
Internal and External Relationship Coordination
- Collaborates with the rest of the CSR team to support and optimize their initiatives including Outreach, Welcome Centre operations and large-scale on campus and virtual events
- Serve as a contact for 1500+ Ontario High Schools as well as other Canadian education partners outside the province, building relationships and creating meaningful connections and opportunities for our partners and students
- Represents Laurier as a general member of the GCSR (General Committee on Student Recruitment), an Ontario-wide community of practice that collaborates to ensure that students interested in post-secondary education are well served by all Ontario universities’
- Builds and maintains relationships and partnerships with members of the broader Laurier community in an effort to effectively engage all of Laurier in recruitment initiatives and tactics. These stakeholders include but are not limited to: faculty members and academic units, Office of Indigenous Initiatives, Alumni, Co-Op and Career, Athletics & Recreation, Laurier International, and Teaching, Learning and Retention
Qualifications
- University degree and a minimum of 3 years’ experience in Student Recruitment, preferably from Wilfrid Laurier University.
- Demonstrated effective interpersonal and public relations skills including:

- Exceptional public speaking and presentation skills, as defined by:
- Use of clear and concise descriptions and explanations
- Tailoring content, approach, and language to specific audiences
- Use interpersonal skills to relate to and engage audiences
- Positive, welcoming, and inclusive on-camera presence
- Knowledge of the Ontario secondary education system, Laurier programs and admission criteria, and an awareness of the broader post-secondary sector.
- Experience in event planning and project execution.
- Experience in effectively utilizing various digital communication platforms such as a CRM, Powerpoint, MS Teams, Zoom etc.
- Ability to work independently and set priorities.
- Excellent organizational skills.
- Valid “G” driver’s license with proven safe driving record.
- Ability to work evenings and weekends.
- Ability to be away from home for extended periods of time.
Hours of Work: This is a full time, limited term position with an anticipated end date of December 12, 2026. The normal hours of work are 8:30 am to 4:30 pm, Monday to Friday. Flexibility in hours will be required, including evening and/or weekend work due to recruitment events, Provincial travel will also be required. When possible, the manager will adjust the work schedule so that no more than 35 hours are worked in a week.
This position is eligible for a flexible work arrangement, as per Policy 8.14 (Flexible Work Policy). All arrangement must be approved by the direct manager. In-person attendance for events, as required to meet operational needs, is expected. On occasion, this schedule may need to be adjusted to meet operational requirements.
Compensation
Position Grade: Level E
Rate of pay: $41.09 to $43.44 per hour with an annual step progression on anniversary date up to $46.96 per hour.
Considerations for new hire step placements include, qualifications and length/depth of required experience, relevant market rates for similar jobs, internal equity, and estimated learning curve in starting the job.
