Reporting to the Manager of Canadian Student Recruitment, Enrolment Services  , the Sr. Recruitment Coordinator works as a member of the Recruitment & Admissions (R&A) team to ensure the enrolment management goals of the university at large are met. This team  develops, executes, and implements strategic plans to advance the position of Wilfrid Laurier University nationally and internationally as a destination for high calibre students.

 

Wilfrid Laurier University operates within a Strategic Enrolment Management framework to thoughtfully meet the institutions objectives around enrolment. The Sr. Recruitment Coordinator oversees relationship building efforts with a variety of external audiences such as prospective applicants, parents, and other influencers such as educators and guidance counsellors. Postsecondary education is ever evolving, and the pace of change is unprecedented in the last 3 years, so the ability to leverage interpersonal skills to relate with audiences is critical. The incumbent must also use their highly developed interpersonal skills to effectively collaborate in a multi-campus environment with their colleagues in Recruitment and Admissions and leverage relationships across the Laurier community to create and execute impactful and cohesive strategic plans. The incumbent has a responsibility to develop and deliver strategies and tactics that reflect the brand promise of the University and leverage points of intersection across all of Enrolment Services in an effort to attract the highest quality students to apply and enroll in undergraduate studies at Laurier. This position is a strategic contributor of the University’s overall undergraduate enrolment strategy and is a significant contributor to the public image of the University to key external audiences.

 

The scope of responsibilities includes the development and execution of recruitment training to ensure an appropriate institutional knowledge base for all public-facing Enrolment Services Staff such as Student Ambassadors, R&A Staff, and the Service Laurier team. The incumbent also serves as a point of contact and support for all members of the CSR (Canadian Student Recruitment) team, requiring a clear understanding of the goals and shared vision of all 3 components of the unit: Welcome Centre operations, Academic Outreach, and student recruitment. In addition to coordinating  and maintaining the alignment of the CSR Team’s tactics, the Sr. Recruitment Coordinator represents the interests of the CSR Team in discussions about broader Recruitment & Admissions goals and strategies through regular meetings with the Management Team and Sr. staff members from Admissions, Marketing & Communications, and International Recruitment & Partnerships.

 

Taking into consideration the strategic enrolment management funnel, and the ever-evolving post-secondary marketplace, the Sr. Recruitment Coordinator advises on best practices and works closely with the Manager of Canadian Student Recruitment to develop annual plans for outbound student recruitment and take the lead in plan execution. The plan requires responsible and effective stewardship of university resources; both financial and staff, and as such the incumbent will play a leadership role in the hiring and oversight of CSR staff including Ambassadors and contract recruitment staff. Determining the optimal mix of virtual and in-person recruitment relationship building opportunities that seamlessly complement and integrate with the broader R&A strategy is an antecedent of success, as is identifying opportunities to utilize our CRM (Client Relationship Management system) to maximize relationship building opportunities with all external audience members.

 

The ideal candidate will be experienced in the management of inquiries from prospective students, parents, and educators, have excellent communications skills inclusive of writing, presenting, and coaching and will be able to work independently with little or no supervision for extended periods.

 

This position requires flexible hours including evenings, weekends, and overnight stays.

 

This position has a university-wide mandate and is based at the Waterloo Campus. The incumbent provides subject matter expertise to all campuses, requiring regular interpersonal interactions and collaboration with departments at the Waterloo Campus, Brantford Campus, Milton location and external partners. Special attention is given to ensure equitable service delivery across all locations.

 

 

Accountabilities

 

 

  1. Training and Recruitment

 

  • Creates, implements, evaluates, and refines scalable annual recruitment training opportunities for all new and returning Enrolment Services with a focus on public-facing roles such Student Ambassadors, Recruitment, and Service Laurier staff. Select campus partners such as Indigenous Initiatives also regularly participate in elements of annual training.
  • Leads the scheduling, and delivery of information sessions with the Managers, Directors and/or chairs of all university departments and services in order to develop an extensive knowledge base of the university and admissions policies.
  • Creates, in partnership with Marketing & Communication, scalable university information presentation frameworks to deliver Laurier’s key brand messages while addressing the needs and interests of diverse external audiences.
  • Trains and prepare recruitment staff members to deliver effective and engaging presentations to audiences of varying sizes in variety of formats both digitally and in-person.
  • Coordinates scheduling and logistics for all outbound student recruitment team engagements and activities including in-person travel and virtual sessions for the student recruitment team and themselves. Each year this constitutes hundreds of engagements with thousands audience members.
  • Executes prospect collection plans to populate the CRM as determined in collaboration with the Marketing & Communication team, with the goal of surpassing the current annual benchmark of 10,000 prospects annually.
  • Compiles and delivers regular reports summarizing all KPIs related recruitment activity and provides qualitative insights and a contextual narrative to Senior Administration on the landscape of recruitment efforts.
  • Coordinates Laurier’s participation in collective Ontario Universities initiatives such as the Ontario Universities’ Fair, Regional Fairs, and Guidance Dialogues. Coordinates, supports and optimizes student recruitment initiatives including student Outreach, Welcome Centre operations and large scale on-campus and virtual events such as Open House.
  • Acts as a primary support and subject matter expert for Service Laurier frontline staff. Works in collaboration with Service Laurier leadership and Marketing and Communication to provide the best possible customer service and delivery of key messages in frontline communications.
  • Acts as a primary liaison with the International Recruitment team to ensure points of intersection are identified and leveraged as efficiently and effectively as possible.
  • Navigates a post-secondary marketplace that is becoming increasingly global and ever evolving. The sector is experiencing an unprecedented pace of change in step with newly emerging digital platforms that must be considered and utilized once their efficacy has been thoroughly assessed.

 

  1. External Relationship Coordination and Stewardship

 

Represent Laurier as the primary contact for 1500+ Ontario High Schools, as well as other Canadian education partners outside of the Province.

  • Builds relationships with Guidance Counsellors and coordinates Canadian Student Recruitment colleagues to leverage existing relationships to broaden networks with educators seeking connections with Laurier.
  • Collaborates with the Marketing & Communications Team in R&A in the development of communications, promotions, and journey maps for key audiences:
    • Prospective students
    • Applicants to Laurier
    • Guidance Counsellors and education system student influencers
    • Parents, family members and other personal student influencers.
  • Grow Laurier’s CRM and coordinate efforts to effectively collect, organize and leverage contacts to achieve the goals of Recruitment & Admissions.
  • Collaborates with R&A colleagues to gain insights on audience perspectives and the dynamics of the competitive landscape that can be leveraged for continuous improvement of recruitment goals and tactics.
  • Partners with Service Laurier to provide effective service for inbound inquiries from prospective students and influencers who contact the University.
  • Represents Laurier on external committees to ensure students interested in post-secondary education are well served.

 

  1. Internal Relationship Coordination and Stewardship
  • Collaborates across our multi campus system to ensure alignment of the team’s vision, goals, and tactics and provides insights about our external audiences based on feedback from external relationships.
  • Supports the planning and execution of Academic Outreach and Welcome Centre initiatives in collaboration with CSR staff and Encourages consideration of synergistic opportunities across other R&A functional units.
  • Leads in the implementation and maintenance of project management business practices and tools to both organize, track and measure the progress of CSR initiatives and ensure alignment with the rest of Enrolment Services.
  • Represents the perspective and interests of the CSR Team at regular Sr. Staff meetings of R&A to ensure alignment of all four functional units: Admissions, Marketing & Communications, International Recruitment; and CSR.
  • Fosters a culture of collaboration between functional units to encourage recognition of and partnership on points of intersection that can and should be shared to achieve synergistic outcomes.
  • Encourages free-flowing communication amongst and across functional units. In collaboration with Management creates and maintains infrastructure and business practices to facilitate efficient and effective cross-communication.
  • Builds and maintains relationships and partnerships with members of the broader Laurier community in an effort to effectively engage all of Laurier in recruitment initiatives and tactics. Key stakeholders include, but are not limited to:

    • Careers & Coop

  1. Strategic Enrollment Management

 

  • Collaborates with Sr. R&A staff and the Management Team to create, maintain and execute broader recruitment and admissions strategies that support institutional SEM (Strategic Enrolment Management) goals as determined by Sr. Leadership.
  • Identifies KPIs that can and should be measured to define success related to SEM goals and collaborates with Enrolment Services leaders and teammates to effectively deliver on and report on those metrics.
  • Partners with CSR Teammates and Marketing & Communications to develop, define, and refine a younger students’ strategy broadening the top of the SEM funnel.
  • Responsible for optimizing Laurier’s CRM and other technological tools to create systems, automate business processes and organize prospects in an effort to create personalized journey maps and user experience for prospective students and their influencers.

 

Qualifications

 

 

  • University degree and a minimum of 4 years’ experience in Student Recruitment, preferably from Wilfrid Laurier University.
  • Demonstrated effective student recruitment and admissions interpersonal and public relations skills including:
  • dealing courteously and effectively with prospective students, families and stakeholders
  • exercising good judgement and initiative
  • relating to others with tact, diplomacy, and persuasion.
  • Exceptional student recruitment public speaking and presentation skills, as defined by:
    • Use of clear and concise descriptions and explanations
    • Tailoring recruitment and admissions content, approach, and language to specific prospective and admitted audiences
    • Use interpersonal skills to relate to and engage audiences
  • Knowledge of the Ontario secondary education and post-secondary system, Laurier programs and admission criteria, and student recruitment and admissions work experience within the post-secondary sector.
  • Demonstrated experience in creating and executing strategic plans, training,  and goal development.
  • Experience in recruitment and admissions event planning and project execution.
  • Experience in effectively utilizing various digital communication platforms such as a recruitment and admissions CRM, Powerpoint, MS Teams, Webinar toolsetc.
  • Ability to work independently and set priorities.
  • Excellent organizational skills.
  • Valid “G” driver’s license with proven safe driving record.
  • Ability to work evenings and weekends.
  • Ability to be away from home for extended periods of time.

 

Hours of Work

 

This is a Full-time, Limited-term opportunity with an anticipated contract length of 18 months. The normal hours of work are 8:30am to 4:30pm, Monday to Friday. Flexibility in hours may be required, including evening and/or weekend work due to periods of high volume. When possible, the manager will adjust hours to ensure no more than 35 hours are worked in a week.

This role offers limited flexibility regarding flexible work arrangements. Please see Policy 8.14 (Flexible Work Policy) for more information. All arrangement must be approved by the direct manager. On occasion, this schedule may need to be adjusted to meet operational requirements.

 

Compensation

 

  • Level: F
  • Rate of Pay: $47.26 - $49.97 per hour with an annual step progression on anniversary date up to $54.01 per hour. Considerations for new hire step placements include, qualifications and length/depth of required experience, relevant market rates for similar jobs, internal equity, and estimated learning curve in starting the job
