Position Summary
The Student Conduct & Education Coordinator reports to the Director, Student Life & Experience under the leadership of the Office of Student Affairs and serves as a member of the Dean of Students office. The Student Conduct & Education Coordinator is responsible for the administration of the University’s Non-Academic Student Code of Conduct and all policies, procedures, and prevention efforts pertaining to student non-academic behaviour. This position identifies and supports students dealing with challenging and complex issues and responds to critical student behaviour on campus. Serving as an initial point of contact for the campus community, the incumbent will help to determine the appropriate response to specific student behaviour, which includes adaptable resolution, restorative processes, alternative forms of dispute resolution, and acts as an advisor regarding complex legal and regulatory issues in higher education. This position will support faculty and staff who encounter difficult and complex situations, with the additional goal of helping those Laurier community members learn through the process and feel more able to support other students in the future. The coordinator will also work to establish and enhance relationships with local community resources that can support students.
This position has a university-wide mandate and is based at the Waterloo Campus. The incumbent provides subject matter expertise to all campuses, requiring regular interpersonal interactions and collaboration with departments at the Waterloo Campus, the Brantford Campus, the Kitchener Campus, the Milton Campus, and external partners. Special attention is given to ensuring equitable service delivery across all locations.
Accountabilities
Direct Student Support and Case Management
- Facilitate conduct meetings to co-create outcomes from the student conduct process with students that encourage wellness, safety, and belonging
- Meet with and refer students who are having personal, academic, behavioral, or other difficulties to support services within the University as well as community agencies
- Assist in the response to student crisis and campus emergencies requiring the Dean of Students office involvement
- Serve as a primary contact for students who are navigating complex processes such as residence eviction, threat assessment, return to campus after involvement in a court process, and trespass from campus
- Administer threat assessments such as the SIVRA-35 to determine supports for students of concern and assess risk to the university community
- Collaborate with the Office of Human Rights to case manage students with harassment, discrimination, and gendered and sexual violence resource and support needs
- Deliver the highest standard of professionalism, hospitality, and service at the University
Overseeing Non-Academic Student Code of Conduct policy and procedure
- Support the development of strategic planning, document creation, and policies and procedures, including revisions of the Non-Academic Student Code of Conduct for final approval through the Board of Governors
- Investigate and adjudicate cases of individual non-academic Student Conduct, including referrals from student complainants, faculty and/or staff members, Special Constable Service, Residence Life, and academic integrity referrals
- Ensure students/respondents are aware of the Non-Academic Student Code of Conduct procedures, which are communicated through written communication and in meetings
- Develop individualized, educationally based sanctions, conditions, and/or restrictions for individual students who are found responsible for violating the Non-Academic Student Code of Conduct
- Create and maintain timely and accurate conduct reports
- Attend regular training to ensure policy, procedure, and student support are aligned with laws and student conduct best practices
Communications, Projects, and Administrative Support
- Respond to inquiries, complaints, concerns, and requests directed to Dean of Students office Student Conduct team
- Communicate with Enrollment Services, in a timely manner, to apply/remove Dean of Students office interim Trespass orders and safety measures
- Update database management software, Advocate to ensure best practices for recordkeeping, administration, and access
- Regularly review Advocate reports and additional information sources (e.g., SCS (Special Constables Service) weekly summaries) to identify students needing support
- Ensure compliance with privacy legislation and maintain accurate and timely documentation within Advocate
- Handle a variety of tasks simultaneously, establish priorities, collaborate with others within the department, institution, and external to the university and work independently with minimum supervision
- Assist with the development of annual goals, specifically related to areas of responsibility and for other programs and services administered through the Dean of Students office
- Lead special projects to further the priorities of the Dean of Students Office and the university related to student conduct, student support, and student safety including presentations, education, and outreach efforts related to the Non-Academic Student Code of Conduct process
- Support the Values, Mission, and Guiding Principles of Wilfrid Laurier University
Building Collaborative Internal and External Relationships
- Serve as a point of contact and liaison for Laurier community members to express behavioral or safety concerns regarding elevated risk and complex student issues
- Provide subject matter expertise in de-escalation (written and verbal), reintegration, restorative practices, and risk assessment
- Collaborate with Residence Life and Residence Education to ensure consistent application of the Non-Academic Student Code of Conduct, including case management, sanction follow up, and appropriate interventions
- Supervise a team of student volunteers with facilitating programs, workshops, and events with the goal of educating the student population on conflict resolution resources, communication skills and community standards and supports
- Liaise and communicate with various campus stakeholders on ways to improve and maximize student support and community safety
- Assists the Office of Human Rights and Conflict Resolution with facilitation of restorative processes, including Restorative Justice circles
- Support the Laurier Care and Support Team, as necessary
- Serve as a member of university committees and task forces, as required
Qualifications
- Master's degree in student affairs, education, social work, peace and conflict studies, or a related field and three (3) years progressive experience working in higher education
- Demonstrated experience with student conduct, investigations, and prevention efforts
- Knowledge of restorative practices and education-based student conduct outcomes
- Certification in SIVRA-35, HCR v.3, or other risk and threat assessment tools
- Strong working knowledge of higher education legal issues
- Applied understanding of emerging issues in higher education, relevant theories which address the impact of student behavior on student success
- Multicultural competence and a demonstrated commitment to equity, diversity, and inclusion
- Impeccable integrity and ability to handle complex, sensitive, and confidential issues
- Demonstrated experiencing building and fostering relationships with students, colleagues, and departments, including academic deans
- Excellent interpersonal, oral, and written communication skills, including tact and diplomacy
- Demonstrated knowledge of online student tracking systems and database management
- Ability to think critically and solve problems, as well as handle a dynamic case load of students
- Experience with budget management and an understanding of how to use limited financial resources.
- Proven ability supporting students in crisis and assessing risk (including the level of urgency, and ability to respond to students in distress/ at risk)
- Demonstrated organizational skills, attention to detail, and ability to coordinate multiple projects/priorities both independently and while leading a team of volunteers
- Certification in Case Management Standards, Mental Health First Aid, safeTALK and ASIST training is an asset
- Affiliation with ASCA (Association of Student Conduct Administration), NABITA (National Association of Behavioural Intervention and Threat Assessment), and/or CACUSS (Canadian Association of College and University Student Services) is an asset
Hours of Work
This is a Full-time, Limited-termwith an anticipated end date of December 31th 2026.
The normal hours of work are 8:30am to 4:30pm, Monday to Friday. Flexibility in hours may be required, including evening and/or weekend work due to periods of high volume. When possible, the manager will adjust hours to ensure no more than 35 hours are worked in a week.
This role offers limited flexibility regarding flexible work arrangements. Please see Policy 8.14 (Flexible Work Policy) for more information. All arrangement must be approved by the direct manager. On occasion, this schedule may need to be adjusted to meet operational requirements.
As per Article 12.7.6, prior approval from a manager is required to return to a previous position after a Limited-Term Position.
Compensation
- Level: E
- Rate of Pay: $42.83 - $45.28 per hour with an annual step progression on anniversary date up to $48.95 per hour. Considerations for new hire step placements include, qualifications and length/depth of required experience, relevant market rates for similar jobs, internal equity, and estimated learning curve in starting the job
