Position Summary

Reporting to the Manager, Talent Acquisition, the Talent Acquisition Coordinator is accountable for a broad range of talent acquisition related functions within the Talent & Organizational Development portfolio. The role will provide coordination and operational support to various aspects of Laurier’s talent acquisition function including applicant tracking system (Career Portal) administration, job postings, interview scheduling, assessment proctoring, hiring committee support, advertisement coordination, and report generation as well as assisting with on-boarding, record maintenance, invoicing, and other administrative tasks. In addition to performing administrative and coordination tasks, the incumbent will participate in special projects and committees relating to broader Talent & Organizational Development and Human Resources matters, as required.

 

The Talent Acquisition Coordinator supports enhancing a culture of inclusion and exceptional employee experience by providing consistent, accurate, and appropriate service to HR clients including applicants, employees, colleagues and managers, and refers inquiries to the appropriate Talent & Organizational Development team member, as required. The Talent Acquisition Coordinator will be well-versed with talent acquisition best practices, policies and procedures, collective agreements, and principles of employment equity as well as use a high level of discretion in handling confidential personal and HR-related information.

 

This position has a university-wide mandate and is based at the Waterloo Campus. The incumbent provides expertise in a multi-campus environment, requiring regular interaction, communication, and collaboration with community members at all Laurier campuses and locations. The Coordinator ensures the unit’s policies, programs and services are delivered equitably across all campuses and reflect the needs of the local community.

 

Accountabilities

 

Talent Acquisition Support:

  • Posts jobs on website and other external media, as required, through the Career Portal using standard template in accordance with Talent Acquisition Specialist’s instructions and collective agreements.

  • Responds to inquiries from potential applicants including coordinating accommodation requests.

  • Provides support to the Talent Acquisition Specialists by utilizing the Career Portal to schedule interviews with candidates, provide detailed interview and accommodation information to candidates, create appointments for hiring committees, create interview schedules, e-mailing hiring committees the required interview documents and proctoring assessments.

  • Participates in strategic recruitment initiatives, including mass hiring events and coordination for events, branding and community outreach.

  • Coordinates and closes recruitment files and assists with onboarding preparation.

  • Works with the HRIS Manager and Talent Acquisition Specialists to troubleshoot Career Portal issues and ensure accurate data maintenance in Career Portal.

  • Assists with trouble shooting Career Portal issues for users.

  • Collects and ensures accurate and defensible records for all requisitions, interviews, and decisions.

  • Supports the development and maintenance of a diverse candidate pool with sufficient talent pipelines. Utilizes the applicant tracking system to maintain pipelines of qualified candidates for hard-to-fill positions.

  • Manages hiring competitions for entry-level recruitment during times of high volume.

 

2.  General Administrative Support for the Talent and Organizational Development Team:

  • Manages the Talent email inbox, responding to emails in a timely and effective manner in accordance with service standards, and refers inquiries to appropriate Talent & Organizational Development team member as required.

  • Responds to general questions from employees or candidates, and forwards more complex requests to appropriate Talent & Organizational Development team member, when required.

  • Supports the Talent & Organizational Development Specialist with maintenance and updates to the internal Talent & Organizational Development pages on Connect.

  • Provides other general administrative and Talent Acquisition operational support as required.

 

Qualifications

  • University degree and/or college diploma in a related field (e.g. business administration, psychology, communications, social sciences), preferably with a concentration in Human Resources Management

  • Minimum of 1-3 years of experience supporting full cycle talent acquisition or human resources administration

  • Experience and knowledge of equity, diversity and inclusion and supporting talent from equity deserving groups including those who identify as Indigenous, racialized, having disabilities and as sexual and/or gender minorities

  • Proven ability to provide sound advice, consultation and guidance on recruitment best practices

  • Strong project management, detail orientation, and organizational skills including the ability to multi-task and prioritize

  • High level of customer service and professionalism

  • Knowledge of applicable legislation such as Employment Standards Act, Labour Relations Act, Human Rights Code

  • Demonstrated proficiency in MS Office – Word, Excel, PowerPoint, Database/Information System, HRIS systems, and cloud-based systems

  • High regard for the sensitivity and confidentiality of information and the ability to use discretion when working with confidential information in a sensitive manner

 

Preferred or Asset Skills:

  • Certified Human Resources Professional (CHRP) or Certified Human Resources Leader (CHRL) designation;

  • Demonstrated experience in a public sector environment

 

Compensation

Position Grade: EX-E

Annual Salary: $52,040 - $65,048

Hours of Work:  This is a full-time, limited term position until December 08, 2023. The normal hours of work are 8:30 am to 4:30 pm, Monday to Friday.
