Position Summary

 

Reporting to the Associate Director, Talent Acquisition & Employee Experience, the Talent Coordinator is accountable for a broad range of support functions within the Talent portfolio. With a primary focus on Talent Acquisition, this position supports the execution of administrative processes within the applicant tracking system (Career Portal) such as job postings, candidate screening, and interview scheduling as well as assessment proctoring, hiring committee support, advertisement coordination, and report generation. In addition, the role supports onboarding, record maintenance, and other administrative tasks as well as participates on special projects and committees related to the Talent or broader Human Resources portfolios.

 

The Talent Coordinator has a university-wide mandate and is based at the Waterloo campus. The incumbent supports enhancing a culture of inclusion and exceptional employee and candidate experience in a multi-campus environment requiring regular interaction, communication, and collaboration with community members at all Laurier campuses and locations and ensures policies, programs and services are delivered equitably across all campuses and reflect the needs of the local community.

 

 

Accountabilities

Talent Acquisition:

  • In accordance with Talent Acquisition and collective agreement templates and practices, post jobs on connect.wlu.ca, wlu.ca, and other external media as required
  • Respond to inquiries from potential applicants, including coordinating accommodation requests where appropriate
  • Support the Talent Acquisition Specialists by screening applicants, scheduling interviews, providing detailed interview and accommodation information, and proctoring assessments, as well as creating appointments and interview schedules for hiring committees and providing supporting interview documentation
  • Coordinate and participate in strategic recruitment initiatives including career fairs, internal job fairs, branding support, and community outreach
  • Coordinate and close recruitment files and assist with onboarding preparation
  • Collect and ensure accurate and defensible records for all requisitions, interviews, and decisions
  • Support the development and maintenance of a diverse candidate pool with sufficient talent pipelines. Utilize the applicant tracking system to maintain pipelines of qualified candidates for hard-to-fill positions
  • Manage hiring competitions for entry-level recruitment during times of high volume

 

Operations, Technical Support & Administration:

  • Manage the talent@wlu.ca email inbox and work with the Talent Operations & Projects Consultant to ensure positive, timely and effective employee communications and support
  • Act as the primary Talent team contact to troubleshoot Career Portal issues for users
  • Partner with the Talent Operations & Projects Consultant to create, maintain, and manage content and materials for Talent programming and initiatives for connect.wlu.ca.
  • Support the Talent Operations & Projects Consultant to ensure accurate and timely budget administration including P-Card reconciliation, departmental advertising chargebacks and invoice processing for Talent Acquisition activities
  • Optimize technology to create and maintain accurate candidate metrics and reports associated with Talent Acquisition initiatives
  • Working in collaboration with the HRIS Manager and Talent Acquisition Specialists, troubleshoot issues and ensure accurate data maintenance related to the Career Portal
  • Participate in special projects and on committees related to the Talent or broader Human Resources portfolio

 

 

Qualifications

  • University degree and/or college diploma in a related field (e.g. business administration, communications, social sciences), preferably with a concentration in Human Resources Management
  • Minimum of 1-3 years of experience supporting full cycle talent acquisition or human resources administration
  • Experience and knowledge of equity, diversity and inclusion and supporting talent from equity deserving groups including those who identify as Indigenous, racialized, having disabilities and as sexual and/or gender minorities
  • Proven ability to provide sound advice, consultation and guidance on recruitment best practices
  • Strong organizational and time management skills and agility to work with multiple, completing deadlines
  • High level of customer service and professionalism
  • Knowledge of applicable legislation such as Employment Standards Act, Labour Relations Act, Human Rights Code
  • Demonstrated proficiency using a variety of systems, platforms and digital tools to support both in-person and online collaboration of Talent initiatives. Current technologies include: Banner, Cognos, Excel, Microsoft 365 suite including Microsoft Lists, Microsoft Planner and Teams, Qualtrics, SAP, SharePoint Web Editor, Zoom
  • High regard for and ability to work with confidential and sensitive information

Preferred or Asset Skills:

  • Certified Human Resources Professional (CHRP) or Certified Human Resources Leader (CHRL) designation
  • Demonstrated experience in a public sector environment

 

 

Hours of Work 

This is a full-time, limited term position from July 7, 2025 to December 23, 2026. The normal hours of work are 8:30am to 4:30pm, Monday to Friday. Flexibility in hours may be required due to periods of high volume. When possible, the manager will adjust hours so that no more than 35 hours are worked in a week. 

 

This position is eligible for a hybrid work arrangement, as per Policy 8.14 (Flexible Work Policy). In-person attendance for events, as required to meet operational needs, is expected. On occasion, this schedule may need to be adjusted to meet operational requirements.

 

 

Compensation 

Grade: EX-E

Annual Salary $60,851 - $69,254.83

 

When new employees are hired the appropriate base salary is determined using these sub-ranges as a guide while adhering to rules on hiring as defined in our compensation policy. Considerations for new hire salaries include, qualifications and length/depth of required experience, relevant market rates for similar jobs, internal equity, and estimated learning curve in starting the job.
