Position Summary

 

Reporting to the Director of Production and Performance Facilities Operations of the Faculty of Music, the Technical Coordinator (Video), serves as the head video recording specialist on many events hosted by the Faculty of Music. Working with the other House Crew covers booth operation for most events and is accountable for the safe, efficient, and effective technical management of performances and events hosted and produced by the Faculty of Music.

 

Most of the performances are held in the Theatre Auditorium and Maureen Forrester Recital Hall; however, occasionally, this includes other performance spaces on and off campus, including Lazaridis Hall, Keffer Memorial Chapel and the Robert Langen Art Gallery.

 

Manages the recording archives and works with faculty, the Communication, Enrolment and Recruitment Coordinator as well as the Operations Coordinator (LAMA), to record, archive, edit & distribute recordings (audio & video) for a wide variety of end uses.

 

Designs, maintains and updates camera plots for FoM use during school season and acts as camera operator and director for shows with more than basic archival recording needs or those that are live streamed.

 

The Technical Coordinator leads, supervises, trains, and delegates casual staff while providing excellent client service for internal and external rental clients. This position instructs students of varying experience and skill levels in lighting, sound, audiovisual, cabling, and venue standards of practice. The Technical Coordinator works closely with other Faculty of Music staff, including the Dean’s Office staff, the Events, Concerts, & Performance Coordinator, Technical Director, other Technical Coordinators, and the Wardrobe Coordinator.

 

May act as the Technical Director for some Faculty of Music events, students clubs and/or external renters, this individual oversees the technical aspects of productions, ensuring the highest standards of technical excellence are met. This includes managing the technical requirements, such as stage layouts, video, lighting, and sound, in alignment with the artistic vision of each production. The role requires a comprehensive understanding of technical management and the nuances of concert/theatre production.

 

 

Accountabilities

Supervision and Training

 

  • Supervise crew for load-ins and load-outs of internal and external clients as required; ensure all technical/safety requirements are met.
  • Orient clients and staff to facility operations and safety protocols.
  • Train and oversee casual staff (IATSE, students, volunteers) in the safe and appropriate use of lighting, sound, video, rigging, and stage equipment to be technical staff for incoming productions/clients.
  • Provide technical instruction to students in all areas of production; provide coaching and tutorials as appropriate.
  • With the Director of Production, House Crew and the Wardrobe Coordinator helps determine student technician training schedules, training content & delivery methods as well as Student Technician step progressions for payroll.

 

Technical Direction, may help TD with Faculty of Music Events, and Shows with extensive recording and/or streaming Requirements

 

  • Oversee all technical aspects of Faculty of Music productions, including stage design, lighting, sound, and special effects.
  • Develop and manage technical schedules, including rehearsals, builds, and strikes.
  • Liaise with venue technical staff and external suppliers to coordinate production needs.
  • Lead production planning, including budgeting, resource allocation, and timeline development.
  • Coordinate with all departments to ensure cohesive and timely progress.
  • Oversee load-ins, rehearsals, performances, and load-outs, ensuring smooth operation and schedule adherence.
  • Address and resolve any production-related challenges or emergencies.

 

Event Management

 

  • Accountable to the Director of Production on all matters pertaining to the safe and technical operation of WLU productions and external client events in the Faculty of Music Performance Facilities.
  • Serve as the primary advisor to faculty, staff, and external renters regarding recording for all events and productions, providing expertise and guidance to ensure high-quality recordings for the archives as well as distribution on social media.
  • In conjunction with the Director of Production and appropriate faculty, develop and implement strategies to facilitate quality technical and administrative services that support the curriculum and a supportive atmosphere for students, staff, and faculty.
  • Assess needs, answer questions, solve issues, and develop new solutions for rental clients and the performance spaces.
  • Facilitate and manage the technical realization process for all WLU-produced shows, from the feasibility of preliminary and final designs through pre-production, construction, technical rehearsals, opening, performance run, and closing wrap-up.
  • Advise the Director of Production on technical resources for clients related to staging, props, audio, rigging, video, and sound, including set-ups and strikes.
  • With the Director of Production, House Crew and the Wardrobe Coordinator helps to determine the crew size and the skill sets of students needed for events  held in the Savvas Chamberlain Music Building.
  • The House Crew and the Wardrobe Coordinator shall assist in the production of the monthly House Crew and Wardrobe Coordinator work schedule(s) for approval and modification by the Director of Production.
  • In conjunction with the Director of Production, helps to ensure that all theatre rental clients are advised based on technical expertise to produce their events professionally.
  • Serve as Head Technician as required on FOM productions and rentals, both internal and external. Operating sound and lighting as necessary.
  • Supervise post-production activities, including equipment strikes and load-outs.
  • Support the work of other IATSE crew members, working concerts as needed.

 

 

Facilities Maintenance and Safety

 

  • Collaborate with the Director of Production to advise on policies and procedures for the use of, inventories of, and maintenance and updates of all performance venues, as well as all lighting, audio, projection, carpentry, staging, costuming, archiving, streaming, H&S equipment, AWP’s, PPE, computers, and general equipment, belonging to the Faculty of Music’s performance facilities.
  • Monitor equipment condition, including lighting, sound, and video; perform preventive maintenance on equipment.
  • Ensures Recording Systems systems are routinely tested, balanced and performance-ready. Updates Director of Production on any problems found, and/or any upcoming needed maintenance.
  • Monitor and update theatrical consumables, equipment, and performance furniture inventories.
  • Provide upkeep and inspection of the physical facilities of the TA and MFRH, including equipment, storage, and work areas; advise the Technical Director on repairs, inspections, and service as needed.
  • In conjunction with the Director of Production, utilizes knowledge of various codes (Building, Electrical, MOL) and safety best practices to help ensure that theatre operations meet safety requirements; train staff/student employees and students in classrooms with safe and appropriate use of tools and equipment.
  • In conjunction with the Director of Production, helps to ensure compliance with relevant fire and other safety codes in cooperation with SHERM personnel.
  • Maintain ties with industry, organizations, and regulatory bodies so that technical competency, safety standards, and industry knowledge remain current.
  • Remain current on new technologies relevant to each performance area; evaluate and provide input and recommendations to the Technical Director on capital purchases and upgrades.
  • Advise on long-term needs for purchasing and upgrading equipment.
  • Advise on departmental health safety policies, helping to ensure the department is current in health and safety techniques, regulations, and procedures; Conduct regular related safety inspections in all areas to monitor adherence to best practices, including inspection and maintenance of all in-house AWP’s, PPE, Ladders, First Aid Kits, as well as rigging systems and Flame Testing applicable Theatrical Curtains.
  • Alternating Auxiliary Worker Member and/ or member of the JHSC.

 

 

 

Departmental Support & Collaboration

 

  • Serve as a technical resource for faculty and staff with technical competencies in lighting, sound, video, computing, technical production procedures, methods, and materials.
  • Attend staff meetings and occasional department production meetings; provide counsel on the appropriateness of technical requirements requested.
  • Perform testing of all required Audio/Video equipment in the Faculty of Music classrooms before the beginning of fall terms.
  • Consult with Faculty, as requested, on AV purchases for classroom use; may lend assistance with installation.
  • Manage the organization and storage of archival recordings.
  • Collaborate with FoM faculty, staff, WLU departments, and external entities.

 

 Technical Operations:

 

  • Operate and maintain recording systems, including PTZ cameras, Camera switchers, Computers and recording devices and media.
  • Build audio-visual equipment racks and implement strong cable management practices.
  • Troubleshoot issues with equipment and perform basic in-house service and maintenance.
  • Install, operate, and configure AV equipment and AV Networked control systems.
  • Perform installation and servicing of cabling infrastructure and audio/visual devices, including pre-wiring, termination, testing, reporting, and labelling per specifications and drawings.
  • Update and maintain technical documentation and spreadsheets.
  • Load program files and update firmware for various devices.
  • Ensure safety and incident reporting procedures are followed.

No direct reports.

  • Train and provide functional direction to casual staff (IATSE, students, volunteers) in the safe and appropriate use of lighting, sound, video, rigging, and stage equipment to be technical staff for incoming productions/clients.

 

 

Qualifications

  • B.A. in Fine Arts, Drama, Theatre or Performing Arts; College diploma in Theatre Production or equivalent combination of education and experience.  
  • Minimum five years of professional concert or theatre production experience
  • Experience with video recording (directing, switching, PTZ cameras, editing)
  • Experience with audio recording (studio, live, and multi-tracking).
  • Previous experience as a department head, preferably in Concerts, Roadhouse and/or Post-Secondary Institution
  • Basic proficiency in stage management and lighting; familiar with EOS lighting systems, stage carpentry, and safety protocols.
  • Intermediate proficiency in MS Word, Excel, Teams, DAWs, Video Editing and Q-Lab.
  • Knowledge of Ontario Ministry of Labour Guidelines for the Performance Industry.
  • Familiarity with winch and hemp fly systems.
  • Understanding of basic theatrical rigging for video displays, screens, projectors, mics, and speakers.
  • Basic ability in creating and administering small networks for AV; networking protocols, IP addresses and creating LANs and adding wireless routers for AV.
  • Basic troubleshooting, repair and maintenance skills for cable, equipment, and electronics.
  • Experience with AV system design and/or installation preferred.
  • Physical ability to lift items to 50lb and work at heights.
  • Valid Class G Driver’s License with a clean driving record; personal vehicle is an asset.
  • Excellent communication skills, strong attention to detail, and ability to work in a fast-paced environment.
  • Certifications preferred: Standard First Aid, WHMIS, Working at Heights, AWP's, Possession and Acquisition License, Pyrotechnics License, Joint Health, and Safety Committee training.
  • Willingness to learn new hardware and software.
  • Experience working with and training young crews with a strong emphasis on safety.
  • Experience in a Post-Secondary Institution is preferred.

 

 

Hours of work

The regular hours are 8:30 am to 4:30 pm, Monday-Friday. Flexibility in hours will be required, including evening and weekend work, due to concerts and events held outside of regular work hours.  When possible, the Director of Production will adjust the work schedule so that no more than 35 hours are worked weekly.  

 

Compensation

Rate of Pay: $31.62 – $37.61
